Volunteer Policy

One Community Hub is built on the energy and generosity of our volunteers. This policy outlines what you can expect from us, and what we expect from you, so that every volunteer experience is safe, respectful and rewarding.

1. Commitment to volunteers

We will:

  • Treat every volunteer with respect, fairness and appreciation
  • Provide clear role descriptions, orientation and any training needed for your assignment
  • Offer appropriate supervision and a point of contact for questions or concerns
  • Keep you informed about organizational updates, events and new opportunities
  • Recognize your contributions publicly and privately whenever possible
  • Maintain a safe, inclusive environment free from discrimination, harassment and bullying

2. Volunteer conduct

All volunteers are expected to:

  • Act with honesty, integrity and respect toward participants, staff, fellow volunteers and community partners
  • Arrive on time and fulfill commitments, or provide advance notice if you cannot attend
  • Follow instructions, safety protocols and program guidelines provided by staff or event leads
  • Represent One Community Hub positively when interacting with the public, media or partners
  • Refrain from conduct that is unsafe, discriminatory, harassing or otherwise harmful to others
  • Refrain from using alcohol, cannabis or other substances while volunteering

3. Confidentiality and privacy

Volunteers may encounter sensitive personal information about participants, families, donors or fellow volunteers. You must:

  • Keep all personal and organizational information confidential unless disclosure is required by law
  • Not share participant contact details, photos or stories without written consent from the individual (or their guardian, if under 18)
  • Use organizational data and devices only for approved volunteer purposes

4. Working with children and vulnerable individuals

When volunteering with youth or vulnerable community members:

  • Always work within sight of other adults or staff whenever possible
  • Do not engage in one-on-one private communication with minors outside of approved program channels
  • Report any concerns about a child's safety or welfare to a staff member immediately
  • Follow our code of conduct for child safety, which includes physical boundaries, appropriate language and online interaction standards

One Community Hub reserves the right to conduct reference or background checks for volunteers in sensitive roles.

5. Health and safety

Volunteers are required to:

  • Follow all health and safety instructions provided at events or programs
  • Wear any required identification, safety equipment or uniforms
  • Inform a staff member of any medical conditions, allergies or accessibility needs that may affect your volunteering
  • Report accidents, injuries or safety hazards promptly

Volunteers participate at their own risk. One Community Hub carries general liability insurance, but volunteers are not covered by workplace accident insurance unless otherwise stated in writing for a specific role.

6. Photos and media

We love celebrating our volunteers and community. By volunteering, you consent to being photographed or recorded during activities unless you opt out in writing. If you prefer not to appear in promotional materials, please inform a staff member before your shift.

7. Ontario community involvement hours

We welcome high school students completing their 40 hours of community involvement. We will:

  • Track your hours accurately and provide a signed letter or form upon request
  • Ensure your activities meet the Ontario Ministry of Education guidelines
  • Communicate clearly about scheduling so you can complete your hours on time

Students must provide their school name, current grade and any required documentation at the time of registration.

8. Grievances and conflict resolution

If you experience or witness behaviour that violates this policy, or if you have a concern about your volunteer experience, please speak with your volunteer coordinator or email info@onecommunityhub.org. All concerns will be handled confidentially and addressed promptly. Retaliation against anyone who raises a concern is strictly prohibited.

9. Ending your volunteer role

Volunteering is voluntary. You may step down at any time by notifying your coordinator. One Community Hub may also end a volunteer relationship if this policy is violated, after giving the volunteer an opportunity to respond. In cases of serious misconduct, immediate dismissal may occur.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be available at onecommunityhub.org/volunteer-policy. Continued volunteering after changes constitutes acceptance of the revised policy.
